Steps to Implement If QuickBooks Payroll Update is not Working

Step 1: Update the QB Desktop application to the latest release

  • Go to the Help menu.

  • Choose Update QuickBooks Desktop.

  • Click on Update Now.

  • Tap Get Updates.

  • Close QB and then restart the computer to apply the updates you installed.

Step 2: Create a backup copy of the company file

  • Open the QB application. 

  • Go to the File menu.

  • Choose Switch to Single-User Mode.

  • Head back to the File menu.

  • Tap on the Back up Company.

  • Choose Create Local Backup

  • Click on Local Backup.

  • Tap Next.

  • Head to the Local Backup Only section.

  • Click on Browse.

  • Pick the location where you want to save this backup company file.

  • Move to the Online and Local Backup section.

  • Choose Complete Verification.

  • A test will run to check the shape of the backup file before saving it. 

  • When you are ready, tap OK.

  • Click on the Save it now option.

Step 3: Send Payroll data

  • Go to the Employees menu.

  • Choose My Payroll Service.

  • Click Send Usage Data.

  • If the above option is not available, move to the next step.

  • Move to the Employees menu.

  • Choose Send Payroll Data.

  • Head to the Send/Receive Payroll Data.

  • Click on Send All.

  • Enter the payroll service pin if you are asked to do so.

  • If you successfully sent the payroll, install its update; otherwise, move to the next step.

Step 4: Identify stuck paychecks

  • Go to the Edit menu.

  • Choose Find.

  • Click on Advanced.

  • Head to the Advanced tab.

  • Hover over the Choose Filter section.

  • Tap Detail Level from the Filter list.

  • Click on Summary Only.

  • Move back to the Filter list.

  • Swipe down to choose Online Status.

  • Click on Online to Send.

  • Now, tap Find, and you will be able to see the paychecks that were not sent to Intuit.

  • On the Find window, note down the Number of matches.
